Many of our tours take place outdoors and, in some cases, in remote or mountainous areas. Weather, terrain, wildlife behavior, transportation, road conditions, and local circumstances may affect the itinerary.

2. Booking a Tour

You may request a tour through the Nepal Birding Guide website or by contacting our team directly through our Contact Us page.

To arrange your trip, we may require:

4. Tour Prices and Payments

The price of each tour is based on the services described on the relevant tour page, itinerary, quotation, or booking confirmation.

You can explore our available activities and tour experiences before making your booking.

The final price may vary depending on:

  • Accommodation category
  • Transportation requirements
  • Domestic flights
  • Required permits or entrance fees

Any additional services requested after confirmation may incur additional charges.

Bank charges, payment-processing fees, currency-conversion costs, or other transaction charges may be payable by the traveler where applicable.

Payment

Unless otherwise agreed in writing, a 20% booking deposit may be required to confirm a booking.

The remaining balance should be paid according to the payment schedule provided during the booking process. Where applicable, the remaining balance may be paid by bank transfer before arrival or upon arrival in Kathmandu.

Accepted payment methods may include:

  • Cash in USD, EUR, NPR, or other agreed currencies

The payment terms stated in your booking confirmation will take precedence over general information on the website.

5. Included and Excluded Services

Unless specifically stated in the confirmed itinerary, items such as international airfare, personal expenses, travel insurance, visa fees, alcoholic beverages, laundry, tips, and optional activities may not be included.

6. Changes to Your Booking

7. Cancellation by the Traveler

Cancellation requests must be submitted to Nepal Birding Guide in writing.

Unless different cancellation terms are specifically stated in your booking confirmation:

  • The 20% booking deposit is retained as a cancellation fee.
  • Any amount paid above the 20% deposit may be refunded, subject to non-refundable costs already incurred for flights, hotels, permits, transportation, or other third-party services.
  • Certain services may have separate non-refundable cancellation conditions.

The exact refund amount will depend on the services already confirmed or purchased for your trip.

We recommend that travelers purchase travel insurance covering trip cancellation and interruption.

8. Cancellation or Changes by Nepal Birding Guide

We make every reasonable effort to operate confirmed tours according to the agreed itinerary.

However, in exceptional circumstances, we may need to modify, postpone, or cancel a trip because of:

  • Natural disasters
  • Landslides or road closures
  • Government restrictions
  • Transportation disruptions
  • Safety concerns
  • Conservation requirements
  • Political or local circumstances
  • Other events beyond our reasonable control

Where reasonably possible, we may offer an alternative travel date, revised itinerary, alternative service, or refund of eligible amounts.

Any refund may be subject to amounts already paid to third-party suppliers and their applicable refund policies.

9. Itinerary and Schedule Changes

Birdwatching, trekking, and wildlife tours are affected by natural and local conditions. Therefore, itineraries and schedules may occasionally need to change.

Accommodation may occasionally need to be changed because of availability, operational issues, weather, road conditions, or other unforeseen circumstances.

Where a change is necessary, we will make reasonable efforts to arrange a suitable alternative of a comparable standard.

16. Transportation and Domestic Flights

Transportation will follow the confirmed itinerary as closely as reasonably possible.

Depending on the tour, transportation may include:

Transportation schedules may be affected by weather, road conditions, traffic, airline operations, airport restrictions, or other circumstances.

Where domestic flights are included, the applicable airline’s terms and conditions will also apply.

17. Personal Belongings and Equipment

Travelers are responsible for their personal belongings and equipment, including:

  • Passports and travel documents

  • Cash and valuables
  • Personal luggage

We recommend keeping important documents and valuables secure and obtaining appropriate travel insurance.

Nepal Birding Guide is not responsible for loss, theft, or damage to personal property except where such liability cannot legally be excluded.
